1. Acceptance of Terms
By accessing our website at waaptravels.com, using our services, or communicating with us through any channel (including WhatsApp), you agree to be bound by these Terms of Service. If you do not agree with any part of these terms, please do not use our services.
These Terms of Service constitute a legally binding agreement between you ("Client", "you", "your") and WAAP Travels LTD. ("WAAP Travels", "we", "our", "us"), a travel and education consultancy registered in Ghana a subsidiary of WAAP TRAVELS LLC in Colorado USA.
2. Our Services
WAAP Travels provides the following professional services:
- International university search, application, and placement assistance
- Student visa, visit visa, and dependent visa processing for multiple countries
- Document preparation including Statements of Purpose, financial guarantees, and application forms
- Travel bookings including flights and accommodation
- Scholarship identification and application guidance
- Interview coaching and pre-departure orientation
- Ongoing support throughout the application and travel process
We act as a consultancy and intermediary. We do not guarantee admission to any university or the approval of any visa application, as these decisions are made solely by the respective institutions and government authorities.
3. Eligibility
To use our services, you must:
- Be at least 16 years of age (clients under 18 must have a parent or legal guardian consent)
- Provide accurate and truthful information at all times
- Have a valid passport or be in the process of obtaining one
- Have the legal capacity to enter into a binding agreement
4. Client Obligations
As a client of WAAP Travels, you agree to:
- Provide accurate, complete, and truthful personal information and documents
- Submit all required documents within the agreed timelines
- Respond promptly to requests for additional information or clarifications
- Ensure your passport is valid for at least 6 months from your intended travel date
- Make all payments to official WAAP Travels accounts only
- Not engage in any fraudulent activity or misrepresentation
- Attend scheduled appointments, interviews, and biometrics sessions on time
Important: Providing false or misleading information may result in visa refusal, admission cancellation, and termination of our services without a refund. WAAP Travels is not liable for consequences arising from inaccurate information provided by the client.
5. Payments & Fees
5.1 Service Fees
Our service fees vary depending on the package, destination, and level of study. All fees will be communicated to you clearly before you commit to any service. Fees are quoted in Ghana Cedis (GHS) unless otherwise stated.
5.2 Payment Methods
Payments must be made only to official WAAP Travels bank accounts or through approved payment channels. We will never ask you to make payments to personal accounts. If in doubt, verify payment details with your assigned consultant or our head office.
5.3 Payment Plans
We offer flexible payment options:
- Full Payment: Pay the full package amount upfront
- Installment Plan: Pay in 2–3 installments over an agreed timeline
Failure to complete installment payments on time may result in delays or suspension of your application processing.
5.4 Third-Party Fees
Our service fees do not include third-party costs such as embassy visa fees, university application fees, English proficiency test fees, health examination fees, flight tickets, or accommodation unless explicitly stated in your package.
6. Refund Policy
- Refund eligibility and amounts depend on the stage of processing at the time of cancellation
- Consultation fees and document processing fees already incurred are non-refundable
- Third-party fees (embassy fees, university application fees, etc.) paid on your behalf are non-refundable
- If a visa is refused, the refund policy specific to your package applies — please discuss this with your consultant before making payment
- Refund requests must be submitted in writing to info@waaptravels.com
- Approved refunds will be processed within 14–21 business days
7. Visa & Admission Disclaimer
Please note: WAAP Travels does not have any control over visa or admission decisions. These are made solely by embassies, consulates, and educational institutions. We provide professional guidance and support to maximize your chances of success, but we cannot and do not guarantee any specific outcome.
- Visa approval or rejection is at the sole discretion of the issuing embassy or consulate
- University admission decisions are made independently by the respective institutions
- Processing timelines provided are estimates and may vary due to factors beyond our control
- Changes in immigration laws, university policies, or government regulations may affect your application
- WAAP Travels is not responsible for delays caused by embassies, universities, or other third parties
8. WhatsApp & Communication
By providing your phone number and communicating with us via WhatsApp, you consent to:
- Receiving service-related messages, updates, and notifications via WhatsApp
- Receiving appointment reminders and document submission reminders
- Our storage of conversation records for service delivery and quality purposes

9. Intellectual Property
All content on the WAAP Travels website, including text, graphics, logos, images, and design elements, is the property of WAAP Travels LTD. and is protected by applicable intellectual property laws. You may not reproduce, distribute, or use any content from our website without our prior written consent.
10. Limitation of Liability
To the fullest extent permitted by law:
- WAAP Travels shall not be liable for any indirect, incidental, special, or consequential damages arising from the use of our services
- Our total liability for any claim shall not exceed the amount you paid for the specific service in question
- We are not liable for any loss, delay, or damage caused by third parties including embassies, universities, airlines, or other service providers
- We are not responsible for any loss arising from your failure to provide accurate information or meet required deadlines
11. Termination
Either party may terminate the service agreement:
- By the Client: You may cancel your engagement at any time by notifying us in writing. Refunds, if applicable, will be subject to our refund policy (Section 6)
- By WAAP Travels: We reserve the right to terminate services if you provide false information, engage in fraudulent activity, fail to make agreed payments, or behave in an abusive manner towards our staff
12. Governing Law
These Terms of Service are governed by and construed in accordance with the laws of the Republic of Ghana. Any disputes arising from these terms or our services shall be subject to the exclusive jurisdiction of the courts of Ghana.
13. Changes to These Terms
We may update these Terms of Service from time to time. When we make changes, we will update the "Last updated" date at the top of this page. Continued use of our services after changes are posted constitutes your acceptance of the revised terms.
